Job Description

TITLE:                                                    Development Manager-Stewardship and Special Events
REPORTING TO:                                Deputy Executive Director

INTERNAL CONTACTS:                  Staff, Volunteers, and Board of Trustees

EXTERNAL CONTACTS:                  Members and ticket buyers; corporate, small business, and individual donors; consultants, vendors and contractors; local non-profit partners

PURPOSE OF POSITION:                The Development Manager- Stewardship and Special Events position builds and sustains relationships with donors through the management of special events including auctions, galas, dinners, receptions, trips, and other special events. These events may occur on site at the Broadway Center, in private homes or off-site locations, or in other cities/countries.

Supervises:                                        Volunteers and contractors

Primary Responsibilities:

35%                                        Manage Procurement and In-Kind Sponsorship for Special Events

  •     Procure, package, track, and promote donations for auctions/raffles
    
  •     Negotiate discounts/in-kind sponsorship with outside vendors for the organization
    

30%                                        Project Manage all Special Events

  •     Coordinate production of all special events/galas in conjunction with contractors, the Events Team (staff) and the Fund Development Committee (board and volunteers)
    
  •     Coordinate production of all recognition and cultivation events (invitations, lists, RSVPs, caterers, event set-up and tear-down, permits)
    
  •     Coordinate staffing of all special events (recruiting and training volunteers)
    
  •     Attending performances, receptions, trips, etc. as required
    
  •     Maintains Development Department event calendar
    

35%                                        Support the Deputy Executive Director

  •     Finalize correspondence, send, and file
    
  •     Take minutes for Fund Development Committee meetings
    
  •     Return phone messages and make appointments
    
  •     Arrange and calendar meetings using Microsoft Outlook
    
  •     Make travel arrangements
    
  •     Track receipts and expense budgets
    
  •     Other clerical support as needed
    

Qualifications:

  • Exemplary project management and customer service skills
  • Event planning experience
  • Strong written and verbal communication skills
  • Flexibility, organization, and attention to detail
  • Technical proficiency (Office, Auction Tracker, Audience View, Event Pro)
  • High sensitivity and confidentiality
  • Five years' experience plus minimum BA required
