Position Title: Administrative Assistant
Status: Part time, 20-30
hours per week
Hours: Regular office
hours are Monday – Friday, 9 am – 4 pm. Regular hours will be Monday –
Friday, however position will be required to work occasional weekend and
evening hours depending on needs. **
Position Description:
The Administrative Assistant will perform a variety of administrative tasks
as assigned by the Administrative Manager. Activities will include
answering telephones, processing reservations, data entry, customer
service, communications support, drafting of correspondence, editing,
assisting with scheduling and travel arrangements, special event support
and meeting planning. The position will be required to occasionally work
in the museum as a support staff member to help fill gaps in scheduling.
In addition to modeling the Museum’s personality traits, the Administrative
Assistant is expected to:
· Represent the Museum and the administrative team
· Reflect professionalism in demeanor and attire
· Speak articulately and write well
· Be flexible and willing to go the extra mile
· Due to the position’s close tie to the Director team, exercise
discretion and build trusting relationships
Skills, Knowledge and Abilities:
· Attention to detail, planning and organization skills.
· Effective communication, presentation, and problem solving
skills; strong written and oral skills, flexibility.
· Ability to demonstrate responsibility and dependability when
completing assignments, plan and organize work according to established
priorities and complete assignments accurately within established
timeframes.
· Experience with data entry and data management.
· Basic computer knowledge; experience with Salesforce software
preferred. Must be able and willing to learn new software applications as
needed.
· Collaborative working style.
· Ability to forge and maintain effective working relationships
with a variety of representatives of public and private organizations i.e.
Board members, volunteers, vendors, museum staff and the general public.
Minimum Qualifications:
· Must have a valid Washington State driver’s license
· Must be able to lift up to 30 lbs, climb a ladder, and be on feet
for up to 8 hours at a time
· Must be able to pass a pre-employment criminal background check
· AA degree or bachelor's degree in applicable area preferred, or
at least six months of applicable experience
